Job description

As an Administration Executive, you will play a crucial role in ensuring the smooth operation of our executive team in APAC region. You will be responsible for providing high-level administrative support, daily operations, and facilitating communication within the organization. The ideal candidate will be tech-savvy, fluent in English, and possess strong communication skills, enabling them to effectively support our leadership. Responsibilities:

• Overseeing day-to-day office operations by managing administrative functions, maintaining office supplies, managing facility management upkeep and organising company records and databases.

• Handling documentation, filing, correspondence (emails and letters), managing schedules/calendars, arranging meetings and travel logistics, data entry, and providing general clerical support.

• Coordinate procurement processes, including managing office inventory, purchase orders, office upkeeping including repair and rectifications and supplier relationships.

• Support finance and accounting with tasks such as invoice processing, and payment tracking.

• Serve as a point of contact for internal and external communications, ensuring timely and professional responses.

• Liaise with external vendors, service providers, and business partners as needed.

• Manage tenancy agreements and renewal processes.

• Assist with HR functions such as recruitment coordination and maintaining accurate employee data.

• Perform any other duties as assigned by the company, as required and deemed necessary.


Job requirements

  • Minimum Diploma or Bachelor’s Degree in Business Administration, Management, or related field.

  • At least 3–5 years of relevant experience in administrative or executive support roles, preferably in a regional or multinational environment.

  • Strong command of English (both written and spoken); proficiency in Bahasa Malaysia is required.

  • Tech-savvy with good working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with tools like Teams, Zoom, or Google Workspace.

  • Excellent organizational and multitasking skills, with strong attention to detail and ability to meet deadlines.

  • Good communication and interpersonal skills to liaise effectively with local and regional stakeholders.

  • Ability to handle confidential information with discretion and professionalism.

  • Independent, proactive, and resourceful with a positive attitude and willingness to learn.

  • Experience in procurement, vendor management, or basic finance/HR support will be an added advantage.
