Job description
As an Administration Executive, you will play a crucial role in ensuring the smooth operation of our executive team in APAC region. You will be responsible for providing high-level administrative support, daily operations, and facilitating communication within the organization. The ideal candidate will be tech-savvy, fluent in English, and possess strong communication skills, enabling them to effectively support our leadership. Responsibilities:
• Overseeing day-to-day office operations by managing administrative functions, maintaining office supplies, managing facility management upkeep and organising company records and databases.
• Handling documentation, filing, correspondence (emails and letters), managing schedules/calendars, arranging meetings and travel logistics, data entry, and providing general clerical support.
• Coordinate procurement processes, including managing office inventory, purchase orders, office upkeeping including repair and rectifications and supplier relationships.
• Support finance and accounting with tasks such as invoice processing, and payment tracking.
• Serve as a point of contact for internal and external communications, ensuring timely and professional responses.
• Liaise with external vendors, service providers, and business partners as needed.
• Manage tenancy agreements and renewal processes.
• Assist with HR functions such as recruitment coordination and maintaining accurate employee data.
• Perform any other duties as assigned by the company, as required and deemed necessary.
Job requirements
Minimum Diploma or Bachelor’s Degree in Business Administration, Management, or related field.
At least 3–5 years of relevant experience in administrative or executive support roles, preferably in a regional or multinational environment.
Strong command of English (both written and spoken); proficiency in Bahasa Malaysia is required.
Tech-savvy with good working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with tools like Teams, Zoom, or Google Workspace.
Excellent organizational and multitasking skills, with strong attention to detail and ability to meet deadlines.
Good communication and interpersonal skills to liaise effectively with local and regional stakeholders.
Ability to handle confidential information with discretion and professionalism.
Independent, proactive, and resourceful with a positive attitude and willingness to learn.
Experience in procurement, vendor management, or basic finance/HR support will be an added advantage.
